Policies

Welcome to Bow Wow Billie’s Dog Bathing and Grooming LLC!

By signing this agreement, you acknowledge that you have read, understood, and agree to the following policies and procedures.

Cancellation Policy

We require a minimum of 2 days’ notice for any cancellation. This allows us time to fill your appointment slot. Cancellations made with less than 2 days’ notice will be charged a fee equal to half the price of the service booked. If you arrive more than 30 minutes late, your appointment will be considered cancelled and the late cancellation fee will apply.

Late arrivals will be charged as follows:

  • More than 15 minutes late: $10 fee
  • More than 30 minutes late: $35 fee and the appointment will be cancelled

Payment Policy

We accept cash, check, or Zelle (Zelle payments to 817-800-1005). Payment is due at the time of pickup.

Please note: payment is based on the time and work the groomer has spent on your pet, not the service booked. All sales are final — no refunds.

  • If your pet received a bath but the groom could not be completed, the bath service fee will be charged at minimum.
  • If any haircutting was completed, the full haircut amount will be due.

Grooming Time & Pickup

Haircuts can take 3–4 hours to complete depending on the pets scheduled that day. You will be notified when your pet is ready. Pickup is required within 1 hour of notification.

Matting Policy

Dogs with matting may incur additional fees depending on the severity. A separate Matted Pet Release form will be required before any dematting or shave-down is performed. Matting fees will be discussed prior to or during the groom.

Vaccination Requirement

All pets must have an up-to-date rabies vaccination. By signing this agreement, you confirm that your pet’s rabies vaccine is current. We reserve the right to refuse service if vaccination requirements are not met.

Health & Medical Disclosure

You agree to disclose any known health conditions, injuries, sensitivities, or behavioral concerns your pet has prior to the groom. Grooming can be stressful for pets, particularly those who are elderly, have pre-existing health conditions, or are being groomed for the first time.

Bow Wow Billie’s Dog Bathing and Grooming LLC is not liable for any pre-existing conditions or health issues that arise during or after grooming that are beyond our control. In the event of an emergency, we will contact you immediately. We are not authorized to seek veterinary care on your behalf — it is your responsibility to arrange and authorize any veterinary treatment.

Behavior & Right to Stop Grooming

We reserve the right to stop a groom at any time if a pet becomes too stressed, anxious, or aggressive to safely continue. The safety of your pet and our staff is our top priority. In such cases, payment will be due for the time and work already completed, per our payment policy above.

General Liability

Bow Wow Billie’s Dog Bathing and Grooming LLC is not responsible for any injury, illness, loss, or damage arising from grooming services beyond our reasonable control, including but not limited to reactions to grooming products, pre-existing conditions, or circumstances that could not have been reasonably anticipated. We take every precaution to ensure the safety and comfort of your pet.

Photo & Social Media Consent

By signing this agreement, you consent to Bow Wow Billie’s Dog Bathing and Grooming LLC photographing your pet and sharing those photos on our social media platforms and marketing materials. If you do not wish for your pet’s photos to be shared, please notify us in writing prior to your appointment.

Bow Wow Billie’s Dog Bathing and Grooming LLC — Matted Pet Release

Understanding Matting & Its Risks

Matted coats can cause a variety of skin and health problems. Matted fur does not allow for proper air circulation to the skin, which can lead to hot spots, bacterial and fungal infections. Fleas, ticks, maggots, and other parasites may be lurking within the coat, causing further skin infections. Matted fur also pulls and binds, causing pain to your pet when they move or lay on the affected areas. The skin underneath is often raw and inflamed. Additionally, matted coats will not dry properly and can lead to rotting fur and skin.

What to Expect During the Groom

Due to matting, your dog’s hair may need to be shaved extremely short — down to the skin — and may show signs of skin irritation and sores as a result of the matting, wet undercoat, or dirty coat. In order to properly care for a dog that has not been groomed frequently enough, the required grooming session(s) may be long, stressful, or uncomfortable for your pet. Please note that more than one grooming session may be required if your dog is severely matted.

Where feasible, we will work to de-mat and brush out your dog’s coat — but only when doing so would not cause excessive pain or suffering. When it is not feasible, the only humane option is to shave the coat down completely, removing all matting with a short clip.

Risk of Injury

There is a strong chance that your pet’s skin will become irritated during the clipping process. We will use a medicated shampoo to help soothe any irritation that may occur. Because matted hair rests tightly against the skin, the only way to remove mats is to use a short blade clipped between the skin and the mats. Your dog may be nicked or cut because our groomers must work very closely to the skin. Our groomers are extremely careful, but the possibility of injury exists.

Additionally, dogs with matted or heavily coated ears are at risk of developing hematomas — a pooling of blood between the skin and cartilage of the ear — which can occur when a dog shakes their head excessively during or after the grooming process. This is a known risk associated with matting and the dematting process, and is not the result of negligence on the part of our groomers. Bow Wow Billie’s Dog Bathing and Grooming LLC is not liable for ear hematomas that develop as a result of matting or the dematting process.

Additional Fees

Due to the extra time, skill, and care required, dogs with matting will be charged an additional matting fee based on the severity of the coat condition. This fee will be discussed with you prior to or during the groom.

Follow-Up Care

We are happy to show you how to care for your pet’s coat so that matting does not recur. Please schedule a follow-up appointment to speak with our groomers about the best methods for maintaining your dog’s coat between visits.

Release of Liability

By signing this form, I acknowledge that I have read and understood all of the above. Understanding these risks, I, the owner, grant permission for Bow Wow Billie’s Dog Bathing and Grooming LLC to proceed with the dematting or shave-down process. I hereby release the groomer and Bow Wow Billie’s Dog Bathing and Grooming LLC from any liability associated with the above-mentioned process and any and all medical problems that may be uncovered and/or occur during the grooming, stripping, or de-matting process. Should my pet require veterinary care during or after the process, I agree to be solely responsible for and to pay any and all veterinary fees.
